("Helios Law," "we," "us," or "our") collects, uses, discloses, and protects personal information through our website (helioslaw.com), client portal (portal.helioslaw.com), electronic communications, social media pages, and other digital services that link to this Policy (collectively, the "Service").
This Privacy Policy does not apply to information we process on behalf of our clients in connection with active legal representation. That use is governed by our engagement agreements and applicable professional responsibility rules. If you have questions about how we handle your information as a client, please contact us directly.
As an AI-native law firm, we leverage advanced technology, including artificial intelligence tools, to support case evaluation, legal research, document review, and client communication across our practice areas, including employment law, civil rights and immigration, sexual abuse, personal injury, product liability, environmental litigation, and data privacy. We take our obligations to safeguard your information seriously, and this Policy explains how we do so.

Decisis Software's handling of your information is subject to its own privacy policy, and information collected through that platform is also governed by this Policy once received by us.

- Cookies: Small text files stored on your device that help us remember your preferences and analyze site usage. We use session cookies (deleted when you close your browser) and persistent cookies.

We do not sell your personal information.

- Co-counsel and referral attorneys: When we engage co-counsel to handle out-of-state or specialized matters on your behalf. Any co-counsel arrangement incurs no additional cost to you.
- Service providers: Third parties that help us operate our business and Service, such as cloud hosting providers, IT vendors, customer support platforms, AI technology providers, email delivery services, analytics providers, and our CRM and intake platform (currently Decisis Software). These providers access information only as needed to perform services for us and are bound by confidentiality obligations.
- Professional advisors: Attorneys, accountants, auditors, and insurers, to the extent necessary for professional services rendered to us.
- Law enforcement and government authorities: When we believe disclosure is required or permitted by law, court order, or legal process, or to protect the rights, safety, or property of our firm, our clients, or the public.
- Corporate transactions: In connection with a merger, acquisition, sale of assets, financing, or reorganization of Helios Law. In such events, personal information may be transferred as a business asset, subject to confidentiality protections.
- With your consent: For any other purpose for which you provide express consent.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties.

As an AI-native law firm, Helios Law uses artificial intelligence tools to improve efficiency and quality across our operations, including intake screening, legal research, document review, and case analysis across our practice areas, which include employment law, civil rights and immigration, sexual abuse, personal injury, product liability, environmental litigation, and data privacy. We want to be transparent about this:
- AI tools assist attorneys but do not replace attorney judgment. All significant decisions affecting your legal rights are made by licensed attorneys.
- Information you provide during intake may be processed by AI systems to help us assess your matter. Results are reviewed by our legal team.
- We use reputable AI service providers under data processing agreements that limit how your information may be used.
- We do not use your personal information to train third-party AI models without your consent.
7. Data Retention
We retain personal information for as long as necessary to fulfill the purposes described in this Policy, to comply with legal obligations (including applicable bar association record-keeping rules), resolve disputes, and enforce our agreements.
